SUMMARY / OBJECTIVE:
The Antioch Youth Ministry Operations Coordinator supports the overall vision of the ministry by managing projects, tasks, and workflows, enabling students and their families to encounter God, grow as disciples, and live on mission.
GENERAL RESPONSIBILITIES:
- Works in coordination with the overall goals and objectives of Antioch Waco.
- Assists other staff members, when needed, to support teamwork and contribute to the successful completion of their objectives and strategies.
- Basic personal responsibilities:
- Understand, engage and personally own the mission, vision and values of Antioch Waco and the overall church goals.
- Maintain a vital and growing personal walk with Jesus through committed time to the Word, worship and prayer.
- Maintain proper priorities in your home including your spouse and children (if married and/or with children).
- Faithfully support the ministries of Antioch Waco by maintaining wise stewardship measures over the resources entrusted to you.
- Perform duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Antioch Waco (Colossians 3:23-24).
ROLES SPECIFIC RESPONSIBILITIES:
Operations and Administration
- Partner with Youth Pastors to develop and maintain systems, workflows, and operational processes that improve ministry effectiveness and organizational efficiency.
- Coordinate the administrative, financial, and operational needs of the Youth Ministry and Zone 3.
- Maintain accurate ministry databases and records, including attendance tracking, visitor information, volunteer records, and follow-up protocols.
- Maintain ministry calendars, operational documents, and event planning resources.
- Manage and maintain ministry platforms including Planning Center, AirTable, EZ Texting, Mailchimp, and GroupMe.
Communication and Engagement
- Collaborate on communication strategies that help students, parents, and leaders stay informed and engaged through methods that align with the mission and values of Antioch.
- Draft, schedule, and distribute ministry communications to students, parents, volunteers, and leaders.
- Collaborate with Assistant Youth Pastors to facilitate new family integration through personalized communication and follow-up processes so that new families become engaged in the culture and mission of Antioch.
Event Coordination
- Organize and execute logistics for youth events, retreats, camps, conferences, mission trips, and special gatherings (including Antioch Movement events) so that the mission and values of Antioch are apparent through these special events.
- Manage event registration processes, attendee tracking, room setups, and ministry resources through Planning Center.
- Serve as the primary point of contact for ministry-specific vendors, venues, and external partners.
- Coordinate supplies, hospitality needs, transportation details, and event resource preparation.
Volunteer Coordination
- Support volunteer onboarding, organization, and administrative coordination for youth ministry leaders.
- Maintain volunteer records and compliance documentation.
- Ensure completion and tracking of mandatory background screenings and volunteer training in accordance with child safety policies.
Budget Management
- Collaborate with Youth Pastors to maintain budgets, track expenses, process reimbursements, and oversee ministry purchases.
- Help monitor event budgets and ensure expenses remain aligned with approved ministry spending.
SUPERVISORY RESPONSIBILITIES:
This position does not have any supervisory responsibilities of permanent staff.

- Passion for youth and families
- Ability to manage multiple priorities in a fast paced, team environment
- A proactive self-starter and innovative problem-solver
- Administratively gifted and detail-oriented
- Strong written and verbal communication skills
DESIRED KNOWLEDGE, SKILLS & EXPERIENCE
- 3+ years in an operational, administrative, or coordination role
- Demonstrated ability to manage multiple projects and work streams simultaneously with attention to detail

REQUIRED IF HIRED
- Attendance of the Antioch Discipleship School within two-years of hire
- Member of Antioch Waco or willing to become a member as a condition of employment
- Active participation in an Antioch Waco Lifegroup
